Position: Assistant Head of Operations

Purpose of the Job:
The Assistant Head of Operations is responsible for ensuring seamless operational efficiency, driving business growth, and maintaining high standards of discipline and accountability within the team. This role requires a combination of technical expertise, leadership, and strategic oversight to support the Head of Operations / CEO in achieving organizational goals. The Assistant Head of Operations will oversee financial planning processes, team performance, and operational workflows to ensure excellence in service delivery and business outcomes.
Key Result Areas (KRAs):
- Operational Efficiency:
- Streamline onboarding processes for clients and employees.
- Ensure smooth functioning of team tools and tech support.
- Business Growth & Tracking:
- Monitor prospect conversion, business potential, and meeting cadence.
- Maintain accurate updates in Zoho CRM and Trello.
- Team Leadership & Development:
- Drive team performance through clear communication and accountability.
- Oversee hiring, onboarding, and training of new employees.
- Financial Plan Execution:
- Ensure timely and accurate preparation, review, and delivery of financial plans.
- Track goal reviews, action plans, and forecasting.
- Compliance & Reporting:
- Ensure adherence to company policies and regulatory requirements.
- Maintain records of meetings, forecasts, and progress updates.
Key Deliverables:
- Monthly Financial Plan Status Reports
- Goal Review/Financial Plan Completion Metrics
- Business Growth and Prospect Conversion Reports
- Team Performance Metrics (Meeting Cadence, GR Meeting Percentage, etc.)
- Onboarding Process Improvements and Documentation
- Accurate Updates in Zoho CRM, Trello, and Other Tools
- Quarterly Team Development Plans and Training Modules
Mandatory Educational Qualifications and Skillsets:
- Educational Qualifications:
- Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
- Certification in Financial Planning (e.g., CFP, NISM, or equivalent).
- Skillsets:
- Strong understanding of financial planning, estate planning, and tax planning.
- Proficiency in Zoho CRM, Trello, Excel, and other financial tools.
- Excellent analytical, problem-solving, and decision-making skills.
- Advanced knowledge of direct equity, insurance, and forecasting.
Desirable Certifications, Qualifications, and Additional Experience:
- Certifications:
- Advanced certifications like NISM VA or MBA in Finance.
- Certification in estate planning or tax advisory.
- Experience:
- Minimum 5-7 years of experience in financial planning or operations, with at least 2 years in a leadership role.
- Proven track record of managing teams and driving operational efficiency.
